Ekos_brewmaster is seeking a Bookkeeper/Office Administrator to join our team. This team member will maintain the financial records primarily by recording day-to-day financial transactions, completing reconciliations, and processing payroll. Additionally, the ideal candidate will complete general administration including management of internal and external business communications. In order to ensure all aspects of this position are performed as expected, measurable metrics will be provided along with regularly scheduled performance reviews. The Bookkeeper/Office Administrator reports directly to the CEO.

What you'd be doing:

Bookkeeping

  • Record day-to-day financial transactions and complete posting process in QuickBooks Online (QBO)
  • Enter data and maintain records/financial statements
  • Process accounts receivable and accounts payable
  • Correspond with customers and vendors regarding their accounts with the company
  • Follow up with past-due A/R and ensure no past-due A/P
  • Monitor various assets and liabilities, applying credits/debits appropriately
  • Reconcile batch deposits and fees from merchant services providers
  • Reconcile all bank accounts, credit cards, and lines of credit monthly
  • Assist with tax preparation activities
  • Maintain employee records in Zenefits and QBO Payroll
  • Complete payroll activities
  • Pay independent contractors
  • Ensure all current finance agreements are properly maintained in the books (e.g. use amortization schedules to distribute principal/interest)
  • Assist with application process related to obtaining additional financing
  • Keep Schedule of Business Debt current monthly
  • Meet daily, weekly, and monthly checks and balances requirements

Administration

  • Provide general administrative support 
  • Organize office items efficiently 
  • Make company travel arrangements and track expenses 
  • Maintain company calendar (including travel dates) 
  • Monitor assigned incoming company correspondence (both phone and email), filter to proper recipient, and respond appropriately 
  • Create and maintain a Contract Management Matrix that includes renewal dates and all other pertinent information concerning company contracts 
  • Assist with internal communication between departments 
  • Perform low-level Human Resource and insurance work as needed 
  • Submit worker’s comp audits 
  • Provide excellent service during client interactions 
  • Maintain physical mail correspondence by checking mail and ensuring outgoing mail is picked up by mail carrier or taken to the post office promptly 
  • Perform any additional tasks as requested by management

What we'd like to see:

  • Associate or Bachelor Degree in Accounting, Finance, Business Management or similar field 
  • Two years of bookkeeping experience 
  • Solid understanding of basic accounting, and double-entry bookkeeping, and accounts payable/receivable principles 
  • Proficiency in QBO (QuickBooks Online) processes, including payroll 
  • Familiarity with Software-as-a-Service (SaaS) companies and subscription billing strongly preferred 
  • Detail oriented 
  • Ability to effectively solve problems 
  • Effective verbal, written, listening, and communication skills 
  • Excellence in utilizing technology, computers, and current software solutions
